To use the Auto vs Manual Scheduling Report, this must first be activated by your Civica Scheduling Admin
The purpose of this report is to show a comparison of the order that visits had been scheduled to take place and the order that the events were actually checked in to. It will also show the mileage and travel time difference between the proposed route and the route taken.
In order to download the report, first select Reports on the Civica Scheduling banner bar at the top of the screen and then select Visit Sequence Compliance Report. Please be aware that if you have a lot of reports on your account, you may need to zoom out to see this report.
It is then possible to input the Start Date and End Date of the time period that you need to run the report for. You can also add a Group filter to limit the information that the report generates to a specific group or team.
Once the dates and group filter have been set, pressing the Generate button will trigger the report to start generating in the background of Civica Scheduling; you are free to carry out any other activities whilst this is taking place. Once the report has been generated, you will receive an email confirmation that the file has been uploaded to your profile, where you can go to download the report.
The first sheet on the report shows details of what the report contains, however the data is presented and instructions on using the report.
The report will have the following column headers:
For the All Staff Sheet:
Group: This shows the groups that the staff member belongs to
Staff: This shows the name of the staff member that the following columns refer to
Proposed Mileage: This shows the Mileage based on how the visits were scheduled on Civica Scheduling (as the visits appear on the day view for example)
Proposed Travel Time (Mins): This shows the Travel Time in minutes based on how the visits were scheduled on Civica Scheduling (as visits appear on the day view for example)
Registered Mileage: This shows the Mileage based on the order in which the visits were checked into
Registered Travel Time (Mins): This shows the Travel Time in minutes based on the order in which the visits were checked into
Mileage Difference: This shows the difference in mileage between the proposed route and the registered route. (Registered Mileage - Proposed Mileage = Mileage Difference)
Travel Time Difference: This shows the difference in Travel Time between the propose route and the registered route. (Registered Travel Time - Proposed Travel Time = Travel Time Difference)
For the individual staff breakdown sheets:
Group: This shows the groups that the staff member belongs to
Proposed Start Postcode: This is the postcode where this particular part of the route is scheduled to start from. The first cell is expected to be blank as this is the staff members home/office start point and so isn't shown
Proposed End Post Code: This is the postcode where this particular part of the route is scheduled to end at. This can also be explained as the postcode of the next event location
Proposed Visit Start: This is the start date and time that the visit was scheduled for
Proposed Mileage: This is the mileage calculated between the Proposed Start Postcode and the Proposed End Postcode
Proposed Travel Time (Mins): This is the travel time, in minutes, calculated between the Proposed Start Postcode and the Proposed End Postcode
Registered Start Postcode: This is the postcode of the visit which was checked into
Registered End Postcode: This is the postcode of the next visit which was checked into
Registered Check in Time: This is the time at which the Registered End Postcode was checked into
Registered Mileage: This is the Mileage difference between the Registered Start Postcode and the Registered End Postcode
Registered Travel Time (Mins): This is the travel time, in minutes, calculated between the Registered Start Postcode and the Registered End Postcode
By default, the Proposed information is ordered based on the Proposed Event Start, with the earliest appearing at the top and each separate day will be split with a daily Total being shown after each day.
The registered information is ordered based on the Registered Check in Time, with the earliest appearing at the top and each separate day will be split with a daily Total being shown after each day.
