In order to increase the time between visits at different post codes when you Auto Schedule or Reorder you need to be set as an Account Manager role on Civica Scheduling.
Civica Scheduling can set an additional time between visits, so that if the travel time between visits has been worked out by the Auto Scheduler to be 3 minutes, then the Auto Schedule will actually set this to be an 8 minute gap if we set the travel time increase to be 5 minutes. This will give staff an extra 5 minutes in order to prepare for a visit or to accommodate for the varying speeds or traffic conditions. The same settings will apply with when reordering events.
Setting an Increased Time Between Visits
There are two areas that we need to set up in order to enable additional time between visits, one is to set up the account settings, the other is to set up the group settings. The group settings will be used if a specific group is used as the filter option when Auto Scheduling, whereas the account settings will be used if the All Groups setting filter option is used when Auto Scheduling.
Both settings can be accessed through the account settings page by clicking the Settings button in the top-right corner of Civica Scheduling
Account Settings
From the account settings select the Auto Scheduler tab in order to make changes as to how the Auto Scheduler will work for your account. On this tab you will find an option labelled "Additional minutes between visits at different postcodes", here you need to input the number of minutes that you would like to increase the time between visits by. Once you're happy with the settings click on the green Save button to confirm your settings. Remember, if you set this to 5 minutes this will mean that a 4 minute journey will be turned into a 9 minute journey.
Group Settings
From the account settings select the Groups tab in order to make changes as to how the Auto Scheduler will work for you when filtering for a specific group. If you are creating a new group then you can input the "Additional minutes between visits at different postcodes" however in this example we will be editing a previously created group.
Scroll down on the page until you find your list of groups and select the orange Edit button on the right-hand side of the group that you would like to increase the time between visits for different post codes for.
This will open up that groups edit page, scroll down and under the Group Auto Scheduler Settings go to the option labelled "Additional minutes between visits at different postcodes" and input the number of minutes that you would like to increase the travel time by. Once you're happy with the settings click on the green Save button to confirm your settings. Remember, if you set this to 5 minutes this will mean that a 4 minute journey will be turned into a 9 minute journey.
Auto Scheduling
Now that both the group and account settings have been set up you can head over to the Compact View and perform an Auto Schedule or alternatively head over to the Day View and perform a Reorder to use the new settings.
