There may be a situation where Patients are called to a certain site; for example, a local community centre. Allocating multiple Patients to a single site would be classed as an Event.
To create multiple Patients per event, you will need to click on Sites in the Civica Scheduling banner bar and go to View All Sites.
From here, choose the Site you wish for Patients to go to by clicking the orange View button. Once you have selected the Site, click on the green Add Sites button on the top right hand side of the page.
Click on the Detailed Repeating Event tab which will display a form that needs to be filled out.
The Site Name should have automatically been filled by default. You will need to add all the Patient to attend the event. One Patient should be added per text box, to add more click on the green Add Another Patient button.
Underneath, you have the choice of Service options you wish to be provided at the Event.
If the Event requires two Staff members, you can check the box where it says Is this Repeating Event a double-up?
You will then need to arrange the date/s of the Event. This can be on a weekly, monthly, weekly interval or daily basis.
The Charges section is used to show who will be funding the Event. This could be independently funded by the Patient or by a global service such as the local council. Select the Patient who requires a charge to be paid out and input who the Funder is and what the Tariff is with the drop down list.
Finally, Additional Setting and Info allows Staff members to input any information surrounding the event. This will also be viewed by Mobile Users when the Event card shows up in their app.
Right underneath that will be a green button with the text Save Repeating Event and Generate Events. By clicking this button, the Event will be saved with all the relevant Patients allocated to the visit/s.
When you go over to the Compact View to display this information you will notice the event with multi Patients are displayed as below. Each row will depict how many Patients have been booked along with cancelled numbers in brackets and maximum capacity per event. Once this row is expanded by clicking on the arrow, a list of all Patients will appear with the cancelled Patients in the black background.
