You can print out address labels of staff or patients, or use this information to do mail-merged letters. This give you lots of options to use the staff and patient details in lots of ways.
In order to create these labels first you will need to download a report from Civica Scheduling containing the staff or patient contact information (we can create a custom report if you do not have access to this report already). Next we would open this report in Microsoft Excel to ensure that the information is the correct information and to remove any rows or columns that we do not require for the address labels.
With this file created and saved, we can now go to Microsoft Word and start a new document with a blank template. From here we select the Mailings option on the top bar and click the Select Recipients drop down menu and then Use an Existing List... from the options. This will open a new window where we will need to select the Excel file that we corrected earlier.
Once this has been loaded it will look as though nothing has happened, however we will now have some additional options. We need to select the option that is called Match Fields, this will present a window where we need to tell Microsoft Word which fields our spreadsheet columns match up to by selecting the correct field from the drop down menu on the right of the window and then pressing Ok when complete.
Next we need to start the mail merge by selecting Start Mail Merge drop down menu and clicking Labels... this will bring up a window where we can select the correct format for the labels we wish to create, once the format is selected press the Ok button.
This will present a blank page where we can begin to create our labels using our spreadsheet to fill in the different fields. We can input these custom fields in a couple of ways, first we could add an Address Block, which will create a pre-formatted address label. Alternatively we can insert individual fields by selecting Insert Merge Field and selecting the individual fields that we would like to add.
Once we are happy with the initial layout, we can preview how this is actually going to look by pressing the Update Labels button and then the Preview Results button, we can select the Preview Results button again to go back and make any additional adjustments.
Now we can simply print out the labels.
