The app can be downloaded for your phone from the relevant app store - Google Play for Android and the App Store for Apple. See our article How do I install the Civica Scheduling mobile app for more details.
To log in initially you need an internet connection - this can be wifi or data on your phone. Once you have logged into the app you will remain logged in for 12 hours. You can check-in and out of visits whilst offline. This will all be cached on your device and will sync once you get a connection again.
Whilst you have a connection, the mobile app data is refreshed every 5 minutes, which means that updates made in the office can be quickly seen out in the field by staff. You can manually refresh the mobile app data by holding and dragging down on the screen.
You can log into the phone app with the same credentials you use to log into the Civica Scheduling website. If you do not have permission to log into the website, please speak to your account manager for your password if you don't have one.
Please note that staff members will only be able to view visits that have been assigned to them specifically.
Once logged in, you should see the 'Dashboard', it will look like this:
The dashboard will show you how many visits you have today, any messages that have been assigned to you, and also when and where your next visit is.
If you tap on the button that says "You have '6' events today", it will show you all of your upcoming visits.
If you are assigned to a visit which has Visit Notes, this will be indicated by a notepad icon next to the visit, which will look like this:
Upon clicking on the visit, you will then see the Visit Notes:
(If Face-to-Face visit)
(If Virtual Visit)
You can check-in/out of a visit by tapping on it, which will bring you to an information page that looks like this:
You will be able to tap "Check in" when you arrive at your visit and "Check out" when you leave, the app will then send the times that the you check in and out to Civica Scheduling so you can view when a staff member has checked in/out as opposed to when they should have.
Once the job has been entered as complete it will show live as completed on the website.
As long as their is a number filled out on the website profiles, staff can also call patients via the mobile app by clicking on their number when viewing the visit.
If the setting has been activated on your account, which can be done by requesting this to Civica Scheduling Support, you will then be able to update comments on upcoming visits. To do this you must first select a visit and then select the show button next to the upcoming visits tab as shown below:
Once the upcoming visits are shown you can press Edit Comment next to the appropriate visit in order to edit the comments for that visit only.
