HOW TO TRANSFER A NEW PATIENT FROM EMIS TO SCHEDULING
- Log into Xyclient using login details/smartcard.
- Open EMIS and open the patient record for the patient you wish to transfer.
- Open Civica Scheduling
- Select ‘EMIS’ from menu in Civica Scheduling
- Select dropdown ‘Patient Import’.
- Select ‘Add from Patient Record System’. While loading system says ‘Fetching open patient from EMIS’
- Patient demographics load - all present demographics in EMIS profile are displayed:
- Title
- First Name
- Last Name
- PMS ID
- NHS number
- Date of Birth
- Mobile
- Home Telephone
- Address
- Postcode
- GP Name
- GP Postcode
8. Any referrals associated with the patient in EMIS appear on the bottom left-hand side of the page, one or multiple can be selected.
9. Selects appropriate referral ID.
10. Push button ‘Create patient in Civica Scheduling’.
11. Search for patient in Scheduling as normal, you can now edit the profile and add in additional details e.g. group, visits etc. to patient profile as usual.
12. Add a one-off visit, or a repeating visit for this patient as required- the referral ID(s) now appear for selection in the patient profile.
13. Save patient record.
HOW TO UPDATE PATIENT DETAILS OR TRANSFER A NEW REFERRAL FROM EMIS TO SCHEDULING FOR AN EXISTING PATIENT:
- Log into Xyclient using login details/smartcard.
- Open EMIS and open the patient record for the patient you wish to update.
- Open Civica Scheduling
- Select ‘EMIS’ from menu in Civica Scheduling
- Select dropdown ‘Patient Import’.
- Select ‘Add from Patient Record System’. While loading system says ‘Fetching open patient from EMIS’
- Patient demographics load - all present demographics in EMIS profile are displayed:
- Title
- First Name
- Last Name
- PMS ID
- NHS number
- Date of Birth
- Mobile
- Home Telephone
- Address
- Postcode
- GP Name
- GP Postcode
- If patient details match exactly those already in Scheduling system an alert appears stating ‘PDS patient matches Civica patient, nothing to update.’
- If patient details are different, demographics that already exist in Scheduling system for the patient appear.
- Field titles that differ in content are highlighted.
- Any referrals associated with the patient in EMIS appear on the bottom left-hand side of the page, one or multiple can be selected.
- Existing referrals associated with the patient that are already present in Scheduling appear on the right-hand side of the screen.
- To add a new referral, select appropriate referral ID.
- Push ‘Update patient in Civica Scheduling’.
- Alert appears saying ‘Patient X updated’.
- Search for patient in Scheduling as usual.
- New patient details have been updated.
- When adding a one-off visit, or a repeating visit, the new referrals that have been added appear in the patient profile.
HOW TO PUSH BACK APPOINTMENT DATA FROM SCHEDULING TO EMIS
- Open and sign into EMIS, do not select a specific patient record.
- On Scheduling, within the EMIS menu select dropdown ‘Patient Writeback’ on Civica Scheduling, Select the date, group and patient where appropriate using the provided fields.
3. Click the ‘Load’ button.
4. Statements appear for completed (checked in and out) activity for selected filter.
5. Statements read as ‘Group name, Username visited on Date at Time for Actual Duration to carry out Items’.
6. Confirm you have the statements you want and then click the green ‘Send to Patient Record System’ button, you will see ticks appear to the right of each line to confirm it has successfully been sent.
7. If EMIS client is unavailable or if statement is associated with a patient who is not registered in EMIS, ticks do NOT appear after pushing ‘Send to Patient Record System button’ and crosses appear instead.
8. Statements display in Consultation for EMIS system. Access this by opening EMIS patient record, in the quick view panel on left hand side select ‘Consultations’.
